EXHIBITION INFORMATION
GENERAL INFORMATION

Exhibition set up Monday 20th November

Private view: Tuesday 21st November. Last year's private view was very well attended. As we have lots more artists exhibiting it might be a good idea to open earlier so the amount of people attending will be spread across a longer time. So it could be 4pm - 8pm - thoughts on this welcome.

Exhibition open to the public from Tuesday 21st November - Sunday 26th November.

Opening times: Tuesday 11am - 3pm; Wednesday - Saturday 11am - 5pm; Sunday 11am - 1pm.

The exhibition will be taken down from 1pm on Sunday. Everything will be taken down and cleared and cleaned ready for another exhibition first thing Monday morning.
EXHIBITION COSTS

Exhibition cost: to the Crypt (Flint Gallery and Undercroft) for the week is £450
-
If everyone on the workshops pays £20 then we will have about £750. We will use some of the £300 left over for the the private view drinks as well as for any costs incurred around the promotion of the exhibition such as leaflets and/or some social media activity.
YOUR OWN ARTWORK IN THE EXHIBITION

There is limited space for the exhibition so we will probably have to limit the scale of individual artworks (maximum A1 or under).

We will try to get as much artwork into the space as possible (a salon style hang). The wire hanging system does limit the amount of wall room we can use but we can find ways to add extra work.

A starting point might be to choose and prepare 3 artworks that could appear in the exhibition and then we will all have to be flexible around the final amount based on space available. My feeling is that everyone will be able to have 2 artworks at least.

I will produce a poster for the exhibition and will get Tansleys Printers to produce leaflets that we can all handout.
SETTING UP THE EXHIBITION
I will be around all day on the Monday to set up the exhibition. If you are available on this date (Mon 20th Nov) your help would be greatly appreciated.

Please have a look at the Crypt website - on there you will get an idea of the space we have, the picture hanging system they have and the various ways that others have used the space for previous exhibitions.
PREPARING YOUR ARTWORK
WHICH ARTWORKS TO CHOOSE
I hope to confirm with everyone individually, in the last week before our half term, which artworks you would like in the exhibition and what size. This will also allow you/us to prepare the frames/mounts etc in good time.
A starting point might be to choose and prepare 3 artworks that could appear in the exhibition.
FRAMING OPTIONS

I would recommend getting readymade frames - this means preparing the artwork and mount to standard sizes. Bespoke framing can be very expensive.

MOUNTS
I recommend using Eastbourne Framing Centre
If you are not sure how to size a mount please check with me and we can prepare the correct size.

Fotobox in Seaford will make mounts to the correct size. They will cut to size but as an idea of cost an A3 mount would be £6.50 and an A2 mount would be £11.
Frames from the The Range come with mounts so worth looking at these.
GICLEE PRINTING
If you have Giclee prints you can include a surround area on the print instead of having a separate mount - ask Mike for clarification on this, I can help you prepare artworks in Photoshop.

PRINTING CARDS TO SELL
There are online sites where you can get artworks prepared but Tansley's Printers is a very good and helpful local printer for digital runs. A few artists in the group used them over the last year with excellent results.
Have a look at their website to get an idea of costs. Please also discuss with me if you are interested in having cards printed.
Others recently also used an online printer Art4site.co.uk online very good results - the colour was an excellent match to the original. Please note that there is a significant cost for delivery - so worth checking this at the strt of the process.

EXHIBITION INFO
EXHIBITION LEAFLETS
A5 LEAFLET
I have had 500 A5 leaflets printed for the exhibition. I am around all weekend so if you want to pick any up to distribute around and about you are very welcome to drop by. If you drop me a text, Whatsapp etc or email before you come to check I’m in.
I have also attached the leaflet here if you need to forward any digitally or post online.
THE WEEK BEFORE THE EXHIBITION
WIRE OR STRING ACROSS THE BACK OF YOUR ARTWORK
Because of the hanging system at the crypt all artworks will need wire or string across the back - I have all the bits required for this in the studio for this - so we can prepare as much as we can before the 20th. If any are not done by then I can do this on the Monday (20th) as we set up the gallery space but it is better that it is done before.
So art will be happening next week as well as a bit of frame preparation.
THE FRAMES AND MOUNTS SUPPLIED BY ME
I now have the Seawhites frames that have been bought by me for some artists
I'm not sure when the mounts will arrive so I will keep you informed - if they arrive late in the week I will put artworks together over next weekend before the exhibition, if they are earlier we can prepare in class.
LABELLING THE ARTWORKS
I have a pack of labels in the studio for artists to write out during next weeks’ classes. I will take these into the gallery on Monday and place under your artworks.
I will also have an example of how we could write these in the studio.
PREPARE TITLES
You can think of titles for your work - I am happy to discuss ideas during the week. Options are to title your artworks - ‘untitled’, this stops the viewer being directed by the title. It could be descriptive of the artwork content or it could be something that is about the expressionistic feeling of the artwork.
THE WEEK OF THE EXHIBITION
SETTING UP THE GALLERY (Monday 20th is set up day) - a group of artists have volunteered to help hang the exhibition on the Monday (20th). Although all are very welcome along to see the progress or help on the day.
DISPLAY OF ARTWORK
Artists’ artwork may not be together in the gallery space. The salon style hang will allow us to get as much artwork in the space as possible. Only non-paper artworks will be displayed down in the crypt.
DISPLAY CRADLES
There will be a couple of display cradles in the gallery so artists can display extra work that can be browsed through. I have A3 and A2 cellophane sleeves in the studio so artworks are protected.
GETTING YOUR ARTWORK TO THE GALLERY
Please make sure your artworks are at the gallery for the Monday morning (20th). You can either deliver them on Monday between 10am - 11am or have left them with Mike in the studio on your last class before the 20th.
VOLUNTEERS NEEDED DURING THE WEEK
A rota sheet is attached in this email which will also be in the studio in the final week before the exhibition starts for artists to volunteer for time at the gallery during the week. Please text or email if you would like to take one of the time slots or fill in during the week in the studio.
2 artists are needed for each morning and each afternoon time slots.
Morning is 11am - 2pm
Afternoon is 2pm - 5pm
The role of the volunteers is to greet visitors and process any purchases. There will be a payment system and I will prepare a guide to the process that will be in the studio and will be in the gallery to look at. We can also go through this in classes the week before the exhibition.

Exhibition opens at 11am and closes around 3pm so we can get ready for the Private View.

I am advertising generally that the exhibition is open Tuesday to Sunday 11am-5pm so we will leave the door open for anyone to wander in and have a look at the exhibition as we set up for the PV. If they wander in after 4 they will be part of the private view - which is fine.

Private view - is from 4pm - 8pm. It is 2 hours longer than last year because there are double the amount of artists exhibiting this year and it was very busy last year. So I hope by extending the time of the PV visitors will spread across the 4 hours.

There will be Prosecco and fruit juice at the entrance with a group helping serve the drinks.

Please pick up your artworks from the gallery from 5pm - 6pm or arrange to have them taken down - I will be able to take artworks back to the studio for those who won't be able to get there.

On the Sunday evening from 5pm, the gallery space needs to be readied for the next exhibition on Monday morning. So artwork down, floor hoovered and everything back in its place. Helpers would be much appreciated.
